Acceptance of Terms

These Terms of Service ("Terms") govern access to and use of School Pulse (the "Service") by schools ("Schools") and their authorised users, including administrators, teachers, bursars and parents. By registering a School, creating an account, or otherwise accessing the Service, you agree to be bound by these Terms on behalf of the School you represent.

If you do not agree to these Terms, you should not register a School or use the Service. If you are accepting these Terms on behalf of a School, you confirm that you have the authority to do so.

Description of Service

School Pulse is a multi-tenant school-management platform that helps Schools manage student enrolment, attendance, fees and payments, academics and report cards, and parent communication, along with related administrative tools. The Service is provided on a subscription basis and is accessed via web and mobile applications.

We may update, improve or change features of the Service over time to improve reliability, security and functionality, and will make reasonable efforts to communicate material changes to Schools in advance.

School/Account Responsibilities

Schools are responsible for the accuracy of the information they enter into the Service, including student, staff and parent records, and for maintaining appropriate consent and authority to process such information under applicable law.

• Schools must keep administrator credentials secure and are responsible for activity carried out under their accounts.
• Schools are responsible for assigning appropriate roles and access permissions to their staff within the platform.
• Schools must promptly notify School Pulse of any suspected unauthorised access to their account.
• Schools are responsible for their own communications sent to parents and staff through the platform.

Subscription and Billing

School Pulse is billed on a termly basis, per academic term, based on the School's student count and the published pricing tiers available on our pricing page. There is no setup fee to begin using the Service.

Schools may change their subscription tier or cancel their subscription at any time. Changes to tier or cancellation take effect from the start of the next academic term; the current term's subscription is not prorated or refunded. Pricing tiers may be updated from time to time, and any changes will apply from the following term with reasonable advance notice.

Data Ownership

Schools own the data they enter into the Service, including student records, attendance, fee records and academic data. School Pulse does not claim ownership over School data and processes it solely to provide the Service.

Upon request, School Pulse will provide the School with an export of its data in a reasonable, commonly used format. Schools may request an export at any time during their subscription, and for a reasonable period following termination or cancellation of their account.

Acceptable Use

Schools and their authorised users agree not to misuse the Service, including by attempting to gain unauthorised access to other Schools' data, using the Service to send unlawful, abusive or fraudulent communications, uploading data the School does not have the right to process, or interfering with the security or normal operation of the Service.

We reserve the right to investigate suspected violations and to suspend accounts where necessary to protect the Service, other Schools, or their users.

Termination

A School may cancel its subscription at any time, effective from the start of the next term as described above. School Pulse may suspend or terminate access to the Service for a School that materially breaches these Terms, fails to pay outstanding fees after reasonable notice, or engages in conduct that poses a risk to the Service or other Schools.

Upon termination, the School may request a data export within a reasonable period, after which data may be securely deleted or anonymised in accordance with our Privacy Policy and applicable law.

Limitation of Liability

The Service is provided on an "as is" and "as available" basis. To the maximum extent permitted by law, School Pulse shall not be liable for any indirect, incidental, special or consequential damages arising from use of, or inability to use, the Service, including loss of data, revenue or business opportunities.

Our total liability arising from these Terms or use of the Service shall not exceed the fees paid by the School for the Service in the term immediately preceding the event giving rise to the claim.

Changes to Terms

We may update these Terms from time to time to reflect changes in the Service, legal requirements, or our practices. Material changes will be communicated to Schools with reasonable advance notice. Continued use of the Service after changes take effect constitutes acceptance of the updated Terms.
